Media library
Outcome: your logos and photographs are uploaded once and available to every design in the workspace.
Open Media in the workspace sidebar. Everyone in the workspace sees the same files.
Upload
Click Upload, choose files, or drop them on the drop area. PNG, JPEG, GIF, WebP and AVIF files up to 5 MB each are accepted. If a folder is open, new files go into it.
Every image is checked by its contents, not its name, and re-encoded on the server before it is stored. That removes location data and anything hidden in the file. JPEG and GIF keep their format; PNG stays PNG; WebP and AVIF are converted to PNG because many mail clients cannot show them. SVG files are not accepted, because an SVG can carry script.
A file that is refused stays in the upload list with the reason, for example that it is too large or is not an image, so you can fix it and choose again.
Storage
The meter under the folders shows how much of your plan's storage you have used. Deleting a file frees its space at once. When storage is full, uploads are refused until you delete something or move to a larger plan.
Details, alt text and folders
Click a file to see its details. On a phone the details open in a panel from the right.
- Alt text describes the image for people using screen readers, and for anyone whose mail client blocks images. Files without it show a warning mark, and the editor's checks flag images without it.
- Folder moves the file. Create, rename and delete folders with the controls beside the folder list. Deleting a folder keeps its files.
- Used in lists the designs that place the file.
- Replace swaps the picture but keeps the file's identity, so every design that uses it shows the new one.
- Download saves the stored file.
- Delete asks first. If designs use the file, the confirmation names them: they keep their layout but the image becomes a missing block.
Uploading, replacing and deleting are recorded in the workspace's audit log.
